What information we collect
- Enquiries: when you use our contact form, email or call us, we collect your name, email address, phone number and anything you include in your message.
- Clients: if you become a client, we hold contact, billing and project information needed to provide our services.
- Website usage: if you accept analytics cookies, Microsoft Clarity records how visitors use our site, such as pages viewed, clicks and scrolling. Text you type into forms is masked and not recorded.
- Security and technical data: like most websites, our hosting and security services log IP addresses, browser details and access times to keep the site secure and to block spam and attacks.
How we use it and our lawful basis
- To reply to your enquiry and provide a quote: our legitimate interest in responding to people who contact us.
- To deliver services to clients and handle invoicing: performance of a contract, and our legal obligations (for example, keeping accounting records).
- To understand and improve how our website is used: your consent, which you can withdraw at any time.
- To keep our website secure and free from spam: our legitimate interest in protecting the site and its visitors.
We do not sell your information or use it for automated decision-making.
Who we share it with
We use trusted service providers who process information on our behalf, under contract and only for the purposes above:
- Our website hosting provider, and WPMU DEV for website security, maintenance and backups
- Cloudflare, for website security, performance and spam protection (Cloudflare Turnstile)
- SMTP2GO, to deliver emails sent from our website
- Microsoft, for email (Microsoft 365) and website analytics (Microsoft Clarity)
Some of these providers may process information outside the UK. Where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations.
How long we keep it
- Enquiries that do not lead to work: up to 2 years.
- Client records: for the length of our working relationship and up to 6 years afterwards, to meet legal and accounting requirements.
- Analytics data: kept by Microsoft Clarity in line with its standard retention period (currently up to 13 months).
Cookies
We use a small number of cookies and similar technologies:
- Essential: needed for the website to work securely, including Cloudflare security and spam protection. These do not require consent.
- Analytics (optional): Microsoft Clarity cookies, set only if you click “Accept” on our cookie banner.
You can change your choice at any time using the “Cookie settings” link in the website footer, or by clearing cookies in your browser.
Your rights
Under UK data protection law you have the right to access the personal information we hold about you, to ask us to correct or delete it, to object to or restrict how we use it, to data portability, and to withdraw consent at any time. To make a request, email [email protected]. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first, so please contact us.
